Adding the Book to Inventory

  1. Click on the Inventory App and search for the title first or scan the ISBN number. If it is already in FOLIO, skip to step 15.  If not, click on the Actions button in the right top corner. Select New Fast Add Record.
  2.  Under the Instance section, enter the title of the book, publication date, ISBN, and Resource type. For Resource type, click on the drop-down box and select text.  Leave the Instance status term blank. Do not select supress from discovery.  
  3. Click on Add Contributors. In this section, enter the author(s.) Select the first author as the primary. 
  4. Under the Holdings section, enter the Permanent location of where the textbooks will be located. (Kelowna Reserve 3rd Floor or Campus Reserve DeskUnder items, scan the barcode of the item, click on the Material type drop-down box and select Textbook Reserve (AACPESL). Click on the Permanent loan type drop-down box and select Circulation.  
  5. Delete the Check in/check out note box by clicking on the garbage can. Click on Save and close to complete the process.
  6. The instance record should have been created and have the following information. It will show 1 item beside the Add item button. 
  7. Click on the Holdings and it will open up a drop-down box with all the items associated with it. The copy number will need to be added to the current item. Click on the item barcode to open the item record. 
  8. Click on the Actions in the top right corner and select Edit.
  9. Scroll down to Item data and change the copy number from 0 to 1. Click Save and Close. 
  10. Click on the X in the top left corner to return to the Holdings screen. 
  11. Click on Add Items to add the next book.
  12. Under item record, scan the barcode. 
  13. Under item data, use the drop-down box and select Textbook Reserve (AACPESL) and add the copy number.
  14. Under Loan and Availability, use the drop down box and select Circulating for Permanent Loan type. Under Location, select Kelowna Third Floor Reserve (or campus Reserve desk) for Permanent location. Hit Save and Close after complete. 
  15. For textbooks already listed in Inventory, after clicking on the Inventory app and finding the title after searching click on the title to have the instance record appear. Click on the Add item button. 
  16. Follow Steps 11 to 14 to add the book to the current Holdings record.
