Long Overdue Item Removal Procedure

After one year, overdue Items are to be removed from a patron account and deleted from FOLIO.  This applies to items in the Circulating collection, Adult Upgrading Texts, or Reserve Items.  The procedure for the removal of long overdue items depends on the type of item, but the first two steps are the same in all cases:

1. Discharge the item Check In

2. Waive the fines/fees from the item from the patron account Waive Fees

 

After the item is discharged and the associated fees are removed, the next step depends on which item type is being removed.

3a. AU Texts - we will delete the item record. There is no need to send the barcode to Tech Services Metadata Technician, unless it is the last item in the holdings. If that’s the case send it to the Tech Services Metadata Technician who will have the Holdings and Instance records removed for these items.

3b. Other reserve items -we will delete the item record. If it is the only item in the holdings then send the barcode/title to Tech Services for removal.

3c. Circulating items -Only suppress the item record (not the instance record) and send the barcode/title to Tech Services Metadata Technician or removal
