Activating a Staff Member Folio Account

If a staff member does not have an account in Folio, you can create one.  In the Users App, click on "Actions" and "New" to create a record. 

For detailed information on how to create a new user account, consult the New User instructions in the Circulation Section of this LibGuide. NOTE: the patron load program will update the staff member's user record when it is updated in the Banner system.

Once a new user record has been created, proceed with the steps below. 

 

Step 1: Bring up the staff member's account in Folio (Apps>Users).  Check their status to see if they are "Active" or "Inactive".  If their account is Active, skip to Step 5.

 

Step 2:  If employee's account is "Inactive", update the Expiry Date field in the their User record. To do this, click anywhere on the User record.

 

Step 3:  Click on "Actions" and then "Edit".  

 

Step 4: You will now be taken into the full User record. Locate the Expiration Date field and update. The format is YYYY-MM-DD.

 

Step 5: Check the employee's permissions by clicking on User Permissions at bottom of screen.

 

Step 6: If there are no permissions found, click "Add permission".

 

Step 7: Scroll through the permissions and select "Circulation Full Access" as well as "temp-for-notice-policy-item-get".  Click "Save & Close". 

 

 

 

Step 8:  Click on "Service Points" and then "+Add Service Points" to select all applicable service points.  Click Save & Close.

 

Step 9: Send the Folio Account activation email. Scroll up in the user record and click on "Send Reset Password Email". 

An activation email will be sent to the staff member at the email address listed in their User record.  This account activation link is valid for 24 hours from the time you send it.

 

Step 10: Click Save & Close.
